Pricing
Flat fees, and no markup on anything
No contract, no minimum, no volume tier. Our fee is the same on every request, and what the provider charges for the records is passed through at exactly what we paid.
Our fees
What a request costs
Our fee and what the provider charges. That is the whole list.
Most requests only ever involve the first two. Name the facility and we work out which entity holds the billing or EMS records tied to it, at no separate charge.
The actual numbers
Ask for the fee schedule
Every rate on one page, sent to you before your first request. No demo to sit through and no discovery call to get past. Ask and we send it.
Provider record costs
No record cost you did not approve
What a provider charges is set by them, not by us. What you can control is whether it surprises you.
Anything above this comes to you first
If a provider wants more than $150 for the records, we bring it to you for approval before we pay it. You will never open an invoice and find a record cost you did not agree to.
Added to what the provider charged
We also check the per page rate against the state maximum, and question paper fees on records we asked for electronically. Anything we recover comes off your invoice, not ours.
For contingency matters
A case expense, not overhead
Provider costs land on the case ledger whether your team chases the records or we do. What changes is the hours.
Time a paralegal spends on hold with a records department, resubmitting a rejected authorization, or following up for the fourth time is firm overhead. It does not come back. Our fee sits on the ledger with the rest of the advanced case costs.
How case expenses are handled and recovered depends on your fee agreement and your state’s rules.
Not on your invoice
What we do not charge for
The line items that show up elsewhere in this industry and will not show up here.
No contract, no minimum, no tiers
Nothing to sign, no volume to hit, and no rate that improves only if you commit to a monthly count.
No separate fee for tracking down the biller
Emergency room, radiology, anesthesia, and EMS records usually sit with an entity other than the hospital. Working out which one, and moving on when the first is wrong, happens inside the same request.
No fee for the portal or storage
Portal access comes with the account. No license, no per seat charge, no storage fee. We do not delete records, so a chart you pulled two years ago is still there when the case reaches mediation.
No fee when a request cannot be worked
If there is no request to work, there is no retrieval fee. Provider costs already paid on your behalf are still reimbursed.
Billing
How invoicing works
One invoice per request, issued when your records are ready.
One invoice per request
Your fee and the provider cost appear on the same invoice, itemized, issued in the portal alongside the records it covers once they are confirmed complete. The file releases when the invoice is paid.
Nothing to reconcile
No monthly statement covering work you then have to go find and match up. Each charge sits with the request that produced it, and stays there.
Common questions
What people ask about pricing
The answers you would otherwise have to get on a call. Here they are instead.
One flat retrieval fee per completed request, plus whatever the provider charged for the records themselves, passed through at cost with no markup added. There is no contract, no minimum, and no volume tier. We send you the full fee schedule before your first request, so you know the number before you commit to anything.
No. Our fee is the same whether a request comes back as twelve pages or two thousand. Providers may charge by the page under their state’s fee schedule, and that cost passes through at what we paid, but nothing on our side scales with page count.
One per record type per facility. An intake form naming five facilities and eight record types creates forty requests, each with its own retrieval fee and its own status in the portal. Ask us before you submit if you want the count checked first.
No. Give us the facility and the dates of service. Emergency room physicians, radiologists, anesthesiologists, and pathologists usually bill through separate entities from the hospital, and EMS may be a city department, a county service, or a private company. Working out which one holds the records you asked for is part of the retrieval fee. If the first turns out to be wrong, we keep the same request open and go to the next.
No. Portal access comes with your account. There is no license, no per seat charge, and no separate platform fee, whether one person at your firm uses it or twenty.
We do not delete them. Completed requests stay in your portal with the file available to download for as long as your account is active, so a chart you pulled for an intake two years ago is still there when the case reaches mediation. No storage fee and no charge to download it again.
Our fee follows whether the request could be worked, not whether records turned up. The fee schedule spells out each case, and it goes to you before your first request and stays in your portal after that.
One invoice per request, issued in the portal alongside the file it covers and itemized so you can see the retrieval fee and the provider cost separately. The records release for download when the invoice is paid.
