About DocuSwift Pro

We have worked both sides of the request

DocuSwift Pro is a medical record retrieval company based in Houston, Texas, serving law firms and insurance companies in all 50 states. Most retrieval companies only know how to send a request. We have also been the department receiving one, which is why ours get processed instead of stuck.

Why we exist

Records work is not hard. It is relentless.

A medical record request is a small thing that can cost you an enormous amount. One wrong signature on an authorization, one facility that routes through a third party nobody told you about, one request that quietly sits in a queue for three weeks, and suddenly a claim is stalled or a filing date is at risk.

None of that happens because the work is complicated. It happens because nobody stayed on it.

We started DocuSwift Pro because we had watched requests fail from the inside, and we knew almost every one of those failures was preventable.

Before this company existed, our team spent years inside hospital release of information departments, processing the requests that firms and carriers sent in. We saw which ones we could act on immediately and which ones went into the problem pile. Then we spent years on the other side, at record retrieval companies, sending requests out.

We built DocuSwift Pro in Houston, Texas and work nationwide, retrieving medical records and specialty provider billing from hospitals, clinics, and providers in all 50 states.

That combination is uncommon in this industry, and it is the whole reason our clients stay. We are not guessing what a custodian needs. We have been the custodian. You can see how a request moves from intake through delivery, at every stage, inside your portal.

Our background

Two perspectives, one team

What each side taught us, and what it means for your requests.

Inside the hospital

Release of information

Years spent receiving, reviewing, and fulfilling third party record requests for healthcare organizations.

  • Which authorizations get rejected on sight, and why
  • What a facility is permitted to charge per page, so an over billed invoice gets challenged instead of paid
  • Who to escalate to when a request stalls, and when escalating actually moves it
  • When a facility genuinely cannot release something, and when it simply has not yet
Inside retrieval

Record retrieval companies

Years spent on the requesting side, working case files for law firms and insurance companies.

  • What a paralegal actually needs in hand before a deadline
  • What to ask you up front, because most delays start with a request submitted before anyone checked it was complete
  • Which billing providers get forgotten and leave a damages number short
  • How badly the process runs when nobody owns the follow up

Put together, that is a request that is correct before it is ever sent, and followed until it is answered.

How we operate

Four commitments we do not negotiate

These are not aspirations. They are the terms you get on day one, without asking.

Nothing goes out unchecked

We validate the authorization before the request leaves us. Correct signer, correct scope, and confirmation with the facility that the patient was treated there.

No contracts, no minimums

Send us one request or a thousand. Flat rate pricing either way, with no term to sign and no volume to hit.

You should never have to ask

Every request carries a live status, the number of days it has been open, and the date of your next update. Chasing us for information is not part of the service.

You hear it from us first

If a record cannot be obtained, or a facility is going to blow past a reasonable timeline, we tell you while there is still time to work the file another way.
